These Terms and Conditions (hereinafter “Terms”) apply to all services and experiences provided by:

2. Scope of Application and Subject of the Agreement
2.1. Company Activities
Stellaris Space Adventures UG (haftungsbeschränkt) develops, organizes, and markets space-
inspired experiences and events. The company operates a digital platform to book, personalize,
and manage these services. Additionally, Stellaris sells space-related merchandise and hosts
collaborations with selected partners.
2.2. Applicability
These Terms and Conditions apply to all contracts concluded with Stellaris, both by private
individuals and corporate clients.
2.3. Third-Party Involvement
Some experiences are operated in cooperation with third-party providers. Their terms and
conditions apply in addition to the present Terms.
2.4. Eligibility
Both adults and minors may participate. For participants below the age of legal majority, written
parental consent or adult accompaniment is required, depending on the experience.
2.5. Product Types
The offerings include both digital services and physical products (e.g., merchandise)
3. Prices, Payments & Booking Conditions
3.1. Accepted Payment Methods

3.2. Recipient of Payment
• By default, Stellaris Space Adventures UG is the contractual and financial counterpart.
• For certain experiences, especially partner-operated ones, payment is processed directly by
the respective partner under their terms. These will be clearly communicated during booking.
3.3. Deposit Policy
• Stellaris Space Explorers Club Experiences: 25% deposit upon booking, remaining 75% due 90
days before departure.
• Mission Line Experiences: 25% deposit, remaining 75% due 60 days before experience start.
• Origins Line Experiences: Full payment required immediately at time of booking.
• Partner Experiences: Partner-specific deposit rules apply and will be communicated
separately.
3.4. Invoices & Payment Deadlines
• Invoices are generated automatically and sent via email.
• Default payment deadline: 14 days after invoice date unless otherwise stated.
• Deposit invoices follow same 14-day rule; final payment due as per experience type (see 3.3)
3.5. Installment Plans
• No formal installment plans are offered. Only deposit + final payment (split payment) is
supported.
3.6. Late Payments & Non-Payment
• If full payment is not received by the deadline, the booking is placed on hold.
• Reminders and applicable late fees follow German law.
• Explorers Club (VIP): If payment fails and deadlines pass, the booking is cancelled. A
cancellation fee applies due to the high exclusivity and lost opportunity cost.
• Mission Line: Non-payment leads to automatic cancellation. A cancellation fee applies to cover
advance logistics and material preparation.
• Origins Line: Bookings are only confirmed after full payment. Pending bookings without
payment are not valid and will be cancelled without further cost.
• Partner experiences: Subject to their own cancellation and payment rules.
3.7. Booking Confirmation
• A booking becomes legally binding only after receipt of payment (full or deposit).
• Before payment, the booking is considered “pending.”
3.8. Transaction Fees
• All transaction and bank fees are covered by Stellaris at this time, in order to make space
experiences as accessible as possible. (Subject to future changes.)
4. Cancellations, Withdrawals & Refunds
4.1. Right of Withdrawal (Consumer Cancellation Right)
For purchases made via our online platform, consumers have the right to withdraw from
the contract within 14 days from the date of booking or payment, whichever occurs first,
without stating a reason, provided no service has yet been rendered.
However:
• This right of withdrawal does not apply to Space Explorers Club and Mission Line experiences,
which are date-bound and involve complex preparation processes. In these cases, bookings
may only be cancelled according to the rules stated in Section 4.2.
• For Origins Line experiences, the statutory withdrawal period of 14 days applies, unless the
event date falls within this period.
If a withdrawal is submitted after the withdrawal period or for product lines where no
withdrawal right exists, it will be treated as a cancellation (see below).
4.2. Cancellations and Refunds
Refunds apply according to the product line booked:
• Origins Line
• Cancellation ≥ 14 days before experience: 100% refund
• 13–7 days before: 50% refund
• < 7 days: No refund
• Mission Line
• ≥ 60 days: 100% refund
• 59–30 days: 50% refund
• < 30 days: No refund
• Space Explorers Club
• ≥ 90 days: 100% refund
• 89–60 days: 50% refund
• < 60 days: No refund
Important: Deposits are non-refundable due to planning requirements and limited availability. This
applies to all Stellaris-organized and partner-operated experiences.
For partner experiences, the partner's Terms and Conditions take precedence and will be communicated
during the booking process.
4.3. Rebookings (Rescheduling)
• Origins Line:
Rebookings are allowed free of charge up to 7 days before the experience.
• Mission Line and Space Explorers Club:
Rebooking is only possible in cases of force majeure and upon individual review. Fees may
apply due to preparation costs.
In all cases, partner terms apply and may override this policy.
4.4. No-Shows
Failure to appear at the defined meeting point without prior notice is considered a no-show.
• In case of a no-show, the full experience price will be charged and no refund will be granted.
• Exceptions may apply in confirmed cases of force majeure (e.g. flight cancellations).
• No-show policies and cutoff times are experience-specific and will be communicated individually
with the booking confirmation.
4.5. Refund Processing
• Refunds (where applicable) will be made using the same payment method used during booking.
• Refunds will be processed within 14 days after cancellation confirmation.
5. Changes to the Service
5.1. Weather and Safety Dependency
Most Stellaris experiences — including but not limited to stratospheric flights, stargazing events,
expeditions, and outdoor activities — are subject to environmental, meteorological, technical,
and safety conditions. Stellaris reserves the right to make changes to the schedule, structure, or
content of an experience if necessary due to weather, force majeure, technical issues, or
operational limitations. These changes may be announced at short notice and will be
transparently communicated to all participants.
5.2. Changes by Stellaris and Partners
Experiences may be conducted either directly by Stellaris or by selected partner companies. In
both cases, Stellaris and its partners reserve the right to adjust or modify the itinerary, included
services, or logistics if reasonably required. For experiences conducted by partners, their Terms
& Conditions apply in addition to those of Stellaris.
5.3. Handling of Significant Changes or Cancellations
In the event of substantial modifications (e.g., the cancellation of an activity or the entire
experience), Stellaris will make every reasonable effort to offer a suitable alternative — such as
rescheduling, rearrangement of program elements, or equivalent experiences.
Refunds are generally not granted, except under exceptional circumstances or legal obligation.
Instead, customers may be offered:
◦ a credit voucher toward future Stellaris experiences,
◦ a partial discount on a rescheduled experience,
◦ or other appropriate compensation at Stellaris’ discretion.
Aurora visibility, cosmic phenomena, or similar natural events cannot be guaranteed, and
dissatisfaction based on such factors does not entitle the customer to a refund.
5.4. Price Stability
Once an experience is booked and confirmed, the price is fixed. Stellaris does not retroactively
increase or reduce prices, even if costs fluctuate.
5.5. Minimum Participant Requirement
Some experiences — particularly those in the Space Explorers Club or Mission Line — require a
minimum number of participants. If this number is not reached by the defined cutoff date
(typically 30–60 days prior to the experience), Stellaris may cancel or postpone the event. In such
cases, customers will be informed transparently and as early as possible.
5.6. Communication of Changes
Customers are contacted via all available communication channels they provided at the time of
booking (email, phone, SMS, etc.). It is the responsibility of the customer to ensure the accuracy
and accessibility of their contact details. For expedition-style experiences and Space Explorers
Club events, it is mandatory for the customer to be reachable for briefings and updates. Stellaris
cannot be held liable for missed updates due to lack of customer availability.
6. Obligations of the Customer
6.1. Participation Requirements
Customers must ensure they fulfill all necessary participation requirements for the
chosen experience. This may include physical fitness, age limits, and specific medical
conditions. Some experiences—particularly those involving physical or environmental
challenges (e.g. analog astronaut missions, survival trainings, or high-altitude
expeditions)—require a valid medical certificate or physician’s clearance. Stellaris or its
partners will provide briefing documents where applicable. Failure to meet these
requirements or submit documentation on time may result in cancellation without
refund.
6.2. Minimum Age and Consent
Age restrictions vary depending on the product line:
• Space Explorers Club: minimum age 12, only in presence of a parent or guardian.
• Mission Line: minimum age 16 with written parental consent.
Stellaris reserves the right to request and verify identification or legal guardianship at any
time. Exceptions may be granted on a case-by-case basis and will be communicated explicitly.
6.3. Required Equipment and Travel Documents
Participants are responsible for their own standard travel gear, personal clothing, valid
identification, visas, and other documentation. Stellaris or its partners may provide
specialized gear as described in the experience overview. Instructions and deadlines for
submitting required forms or medical proof must be followed precisely. If documents are
not submitted within the defined timeframe, the booking may be cancelled.
6.4. Briefing and Communication
For certain experiences, especially within the Space Explorers Club and Mission Line,
participation in mandatory safety and logistics briefings (online or in person) is required.
Customers are responsible for remaining reachable through the provided communication
channels. Failure to attend the briefing or confirm participation may lead to exclusion.
Misrepresentation of eligibility, health status, or failure to disclose relevant conditions will result
in cancellation without refund and may lead to permanent exclusion from future Stellaris
offerings.
6.5. Behavior and Conduct
All participants are expected to act respectfully and follow all rules and safety
instructions.
• Drug use or alcohol consumption is prohibited during specific experiences (e.g. analog
missions).
• Intoxicated or disruptive participants will be excluded from the activity, and a 100% cancellation
fee applies.
• In cases of gross negligence, customers are fully liable for any damages or resulting costs
6.6. Photography, Filming, and Confidentiality
Participants may take personal photos and videos during experiences unless otherwise
specified. Partner experiences may have separate media policies.
For prototype or unreleased experiences, a Non-Disclosure Agreement (NDA) may be
required.
All official photos and videos created by Stellaris remain its intellectual property.
Group media will be shared only with participants and designated partners. These
materials may not be reproduced or publicly distributed without prior permission.
7. Liability
7.1. General Limitation of Liability
Stellaris Space Adventures UG (haftungsbeschränkt) is only liable for damages caused by intent or gross
negligence. In cases of slight negligence, liability is limited to damages resulting from the breach of
essential contractual obligations (so-called cardinal duties), and only to the extent foreseeable at the time
of contract conclusion. Liability for indirect or consequential damages is excluded to the extent permitted
by law.
7.2. Liability for Third-Party Services
For experiences provided by or in cooperation with third-party partners, the respective partner is solely
responsible for the performance and liability of their services. Stellaris acts as an intermediary and shall
not be held liable for damages, delays, or service changes caused by these third parties. Customers are
subject to the partner’s terms and conditions in addition to Stellaris’ own.
7.3. Natural Events and External Risks
Many Stellaris experiences are dependent on external factors (e.g. weather, solar activity, or terrain
conditions). These are beyond Stellaris’ control and may impact the execution, safety, or scope of an
experience. Stellaris assumes no liability for changes, interruptions, or cancellations resulting from such
uncontrollable events (force majeure), provided safety and communication standards have been
maintained.
7.4. Customer Responsibility
Participants are responsible for their own behavior, physical condition, and compliance with safety
guidelines.
• Stellaris is not liable for injuries or damages resulting from participants ignoring instructions or
failing to disclose relevant health conditions.
• Any damage to equipment, infrastructure, or third-party property caused by a participant—either
intentionally or through gross negligence—must be compensated in full by the customer.
7.5. Travel and Transportation
Stellaris is not responsible for flight delays, missed connections, or logistical issues outside its direct
scope of organization. For experiences that involve self-organized travel (e.g. arrival at a remote
destination), customers are responsible for ensuring adequate arrival time and contingency planning.
Stellaris assumes no liability for costs arising from travel disruptions
8. Insurance
8.1. Customer Responsibility
Customers are solely responsible for obtaining appropriate travel, medical, and cancellation insurance
before participating in any Stellaris experience. This includes, but is not limited to:
• Travel insurance covering trip delays, cancellations, and lost baggage
• Medical insurance including emergency treatment and evacuation
• Accident insurance for physical injuries during activities
• Cancellation coverage in case of unexpected inability to participate
8.2. Stellaris Policy
Stellaris does not offer insurance and does not cover any customer-related risks or damages unless
explicitly stated in writing. The same applies to experiences offered via partners.
We strongly recommend customers consult their local insurance providers to ensure adequate
protection, especially for high-risk or remote experiences such as expeditions or analog missions.
Stellaris does not provide insurance of any kind, nor is Stellaris liable for:
• Medical emergencies
• Lost, stolen, or damaged belongings
• Missed flights or transfers
• Weather-related delays
• Any third-party costs arising from customer negligence
8.3. Mandatory Insurance for Specific Experiences
For all multiday or high-risk experiences—especially those under the Space Explorers Club or Mission
Line—participants are required to obtain and provide proof of valid insurance before joining. This
includes:
• International travel health insurance, covering illness, injury, and medical evacuation
• Trip cancellation or interruption insurance (recommended, not mandatory)
The requirement is communicated clearly during booking. Customers failing to submit proof before the
communicated deadline may be excluded from participation without refund.
8.4. Customer Confirmation at Checkout
During the booking process, all customers must explicitly confirm by checkbox that:
• They have understood the insurance requirements
• They have obtained, or will obtain, the required coverage prior to participation
• Stellaris is not liable for any damages not caused by gross negligence on its part
9. Data Protection
9.1. Controller and Applicable Law
The data controller is Stellaris Space Adventures UG (haftungsbeschränkt), Schulstraße 16, 94469
Deggendorf, Germany. All data processing follows the General Data Protection Regulation (GDPR)
and applicable German privacy laws.
9.2. Purpose of Data Processing
Personal data is collected and processed for the following purposes:
• Processing and managing bookings and payments
• Providing access to booked services and experiences
• Communicating essential pre- and post-experience information
• Fulfilling legal and tax obligations
• Internal business analytics (pseudonymized where possible)
• Customer service and support
• Marketing (only with explicit consent)
• Media usage (only with separate opt-in)
9.3. Data Sources and Processors
We use the following service providers to process and store customer data:
• Bókun (a TripAdvisor company) as our booking and CRM system
• Stripe for payment processing (incl. credit cards, Klarna, Apple Pay, etc.)
• IONOS as web hosting and email provider
• Other partners (e.g. local guides, transport companies, scientists) if necessary to fulfill the
booked service. In these cases, the partner’s own privacy policies and terms apply in addition
to ours.
We ensure all data processors are GDPR-compliant and have signed appropriate data processing
agreements.
9.4. Types of Data Collected
Depending on the experience, we may collect:
• Full name, email, address, phone number
• Date of birth and passport information (if required for travel)
• Medical data (only if needed for specific experiences and only with consent)
• Payment information (processed externally via Stripe)
• Booking and usage history on our platform
• IP address, browser data, and cookie preferences (via IONOS and Bókun)
9.5. Cookies and Analytics
Our website and booking system use cookies and analytics tools for performance and user
experience:
• IONOS WebAnalytics is used for anonymized tracking
• Bókun Analytics may use cookies to optimize the booking flow
• You will be informed via a cookie consent banner and can opt out or adjust preferences
anytime
9.6. Storage Duration and Deletion Policy
• Personal data related to bookings is stored for up to 10 years, in accordance with German tax
laws (§ 147 AO).
• Non-essential data (e.g. unused inquiries, unused opt-ins) is deleted after 24 months of inactivity.
• Customers can request deletion of their data at any time, unless legal retention obligations apply.
9.7. Rights of the Data Subject
You have the right to:
• Request access, correction, or deletion of your data
• Withdraw consent for specific processing activities
• Object to marketing communications at any time
• Request restriction or data portability (in accordance with GDPR Art. 20)
• File a complaint with the data protection authority of Bavaria if you believe your rights are
violated
9.8. Media and Marketing Consent
Photos and videos may be taken during certain experiences. These will be used for marketing.
By booking with Stellaris you consent to being filmed and/or taken pictures. You can withdraw
this consent at any time. In confidential expeditions, a separate non-disclosure agreement (NDA)
may be required
10. Intellectual Property
10.1.Ownership of Content
All content created and provided by Stellaris Space Adventures UG – including but not limited to:
• Logos
• Brand names and symbols
• Images and video material from experiences
• Website text, product descriptions, and program materials
• Digital assets (e.g., PDF handouts, mission logs, welcome letters)
is protected by copyright, trademark law, and intellectual property regulations. Unless otherwise
stated, all rights remain with Stellaris Space Adventures UG.
10.2.Use of Stellaris Content by Customers
Participants may use group pictures, personal media, and shared materials for private,
non-commercial purposes only – unless explicit written permission is granted by
Stellaris. Unauthorized distribution, commercial use, or modification of Stellaris-owned
content is strictly prohibited.
10.3.Photography and Filming by Customers
Participants are generally allowed to take photos and videos during experiences for
personal use. However:
• For partner-run experiences, the partner’s media policy applies additionally
• For prototype or confidential expeditions, the signing of a non-disclosure agreement
(NDA) may be required
In such cases, sharing of content publicly is not allowed without prior written consent
10.4.Social Media & Public Usage
If guests post about Stellaris experiences on social media, we welcome it and appreciate
it. However:
• Use of the Stellaris logo or claiming affiliation as a representative is not permitted
without written approval
• We reserve the right to re-share publicly available content (e.g. tagged Instagram
posts) under fair use, always crediting the original author
10.5.Partner Content and Third-Party Rights
Experiences operated in cooperation with third-party partners may involve content or
branding owned by the partner (e.g., scientific material, workshop content, hotel footage).
Usage of such content is subject to the partner’s intellectual property rules. Stellaris is
not liable for violations of third-party rights committed by guests.
10.6.Copyright Violations and Infringements
Any use of protected content outside the permitted scope (e.g., replication of media kits,
copying designs, or misusing branding) will lead to legal steps and may result in
exclusion from current and future Stellaris programs.
11. Governing Law and Jurisdiction
These Terms and Conditions shall be governed by the laws of the Federal Republic of Germany, excluding
the United Nations Convention on Contracts for the International Sale of Goods (CISG).
The place of jurisdiction for all disputes arising from or in connection with these Terms shall be
Deggendorf, Germany, if the customer is a merchant, legal entity under public law or special fund under
public law. Stellaris Space Adventures UG reserves the right to assert its rights at the customer's general
place of jurisdiction.
12. Dispute Resolution
The European Commission provides a platform for Online Dispute Resolution (ODR), which can be
accessed here: https://ec.europa.eu/consumers/odr
We are neither obligated nor willing to participate in dispute resolution proceedings before a consumer
arbitration board.
13. Force Majeure
13.1.Definition and Scope
Stellaris Space Adventures shall not be held liable for any failure or delay in the performance of
its obligations if such failure or delay is caused by events beyond its reasonable control. This
includes, but is not limited to:
• natural disasters (e.g. storms, blizzards, earthquakes),
• pandemics or epidemics,
• government actions or travel restrictions,
• war, civil unrest, terrorism,
• technical failures or infrastructure disruptions,
• or extreme weather conditions that prevent the safe or meaningful execution of an experience.
This clause also applies to third-party partners involved in the delivery of Stellaris experiences.
13.2.Handling and Customer Options
In the event of a force majeure situation, Stellaris will make all reasonable efforts to provide an
alternative date, a comparable substitute experience, or another appropriate solution.
Refunds or credit vouchers may be offered at Stellaris’ discretion, based on the specific
circumstances of the disruption and the nature of the experience. There is no automatic
entitlement to refunds under force majeure conditions.
13.3.Notification and Flexibility
Customers are expected to inform Stellaris promptly if they are affected by a force majeure event
on their end (e.g. grounded flights, medical quarantine). In such cases, Stellaris will strive for an
accommodating solution in coordination with the customer and involved partners.
13.4.Insurance Requirement
Customers are strongly advised to obtain appropriate travel and medical insurance that covers
cancellations, delays, or losses due to force majeure events. Stellaris shall not be held liable for
expenses incurred due to the absence of adequate insurance coverage.
14. Final Provisions
14.1.Severability Clause
If any provision of these Terms and Conditions is or becomes invalid, unenforceable, or void,
there maining provisions shall remain unaffected. In such a case, the invalid provision shall be
replaced by a valid one that most closely reflects the original intent and purpose of the
agreement.
14.2.Modifications and Amendments
Stellaris Space Adventures reserves the right to modify these Terms and Conditions at any time if
necessary for legal, organizational, or operational reasons. Updates will be published on the
Stellaris website and apply to future bookings from the date of publication.
14.3.Language
These Terms and Conditions are written in English. A German version may be provided for informational
purposes, but the English version shall prevail in case of interpretation disputes.
14.4.Priority of Agreements
In case of specific agreements (e.g. with partners or corporate clients), those written agreements take
precedence over these general Terms and Conditions.
14.5.No Waiver
Failure or delay by Stellaris to exercise any right or enforce any provision of these Terms does not
constitute a waiver of those rights.
